One popular technique is referred to as Inbox Zero which works along the lines of having an empty Inbox by utilising various features and techniques to stay organised. How you manage your Inbox is a choice only you can make but using folders to keep things organised is just one of the options available.
So along those lines let’s now look at how to create a folder in Outlook (or any email client for that fact) and keep your inbox in tip-top shape.
How to create a folder in Outlook Classic
When creating folders, there is no single “right” way to name them. The best folder structure is one that makes sense to you and reflects how you naturally think about their work. Some people prefer to organise emails by client, others by project, department, location, or topic. The key is to use folder names that are meaningful and easy to remember so emails can be found quickly when needed. A folder structure that works well for one person may not suit another, so users should create a system that matches their own workflow and communication style rather than trying to follow a strict naming convention.

Subfolders are folders created inside a main folder to help organise emails into smaller, more specific categories. They allow you to group related messages together while keeping the overall folder structure tidy and easy to navigate. For example, a main folder called Clients might contain subfolders for each client, while a Projects folder could contain a subfolder for each project. Using subfolders can reduce clutter, make emails easier to locate, and provide a logical structure for storing large volumes of messages. As with folder names, the way subfolders are organised should reflect the user’s individual needs and working style.

Hi there from Australia,
Is there a way to highlight a folder name in color or a larger text so that folder really does stand out ?
As a builder, I have extensive trees of folders and subfolders …..
But each day I am constantly searching to the same places …..
maybe what I need is a short list of frequently used folders or favorites and group them together?
Any thoughts would be appreciated
Hi Albert,
I am located in Australia also so welcome. 🙂
Unfortunately, there is no way to colour or make the name of a folder larger so it stands out. You could, however, use the Favorites list in Outlook to put your most frequently accessing folders into so you have direct access. I use this feature myself. Locate a folder you want to “favourite”, and right mouse click it and select “Add to Favorites”. It will be displayed above your full mailbox folder list.
Hope this helps.
Regards, Belinda
